What is Email Account Automations?

Email Account Automations continuously monitor your connected email accounts and automatically trigger recovery actions when configured health metrics, such as 3-day recipient or sender bounce rate, 7-day warmup health score (overall, Google, or Microsoft), or reply rate (including out-of-office replies), cross your defined thresholds.

Instead of manually monitoring account health, you can create automation rules that pause or throttle campaign sending, adjust warmup settings, and automatically restore your preferred configuration once the recovery period ends.

This proactive approach helps protect sender reputation, reduce manual intervention, and maintain consistent email deliverability.

Where to Access Email Account Automations

You can access Email Account Automations from the Email Accounts section of your workspace.

How It Works

Each automation consists of four parts:

  1. Selection Criteria

  2. Trigger Conditions

  3. Recovery Actions

  4. Post-Recovery Behavior

When an account matches your configured conditions, the automation is triggered immediately and remains active for the specified recovery period.

Step 1: Choose Which Accounts the Rule Applies To

Every automation begins by selecting the accounts it should monitor.

You can choose from the following scopes:

  • All Accounts

  • By Provider

  • By Tags

  • Specific Accounts

Step 2: Configure Trigger Conditions

Trigger conditions determine when an automation rule is activated. Each condition monitors a specific email account health metric and compares it against a threshold that you define.

  • 3-day recipient bounce rate / 3-day sender bounce rate – Triggers when the account's bounce rate over the last three days meets your configured threshold. Bounces are split by cause: recipient bounces mean the lead's address rejected the email (invalid or full mailbox); sender bounces mean the receiving server rejected your mailbox or domain. New rules use the split metrics; existing rules on the combined 3-day bounce rate keep working.

  • 7-day warmup health score – Monitors the account's warmup health score over the past seven days. Available as the overall score, or separately for Google and Microsoft recipients, so you can react to a drop with one provider only.

  • Reply rate (including out-of-office replies) – Uses the overall reply rate, including automatic out-of-office responses. You can also set a minimum number of unique leads contacted in the selected window (default 30 for 7 days, 60 for 14 days, 100 for 30 days). Accounts below that minimum are not matched, so a mailbox that has barely sent is not throttled for a 0% reply rate.

Using Multiple Conditions

You can add multiple trigger conditions to create more specific automation rules by clicking Add condition.

When multiple conditions are configured, you can choose how they are evaluated:

  • AND – All conditions must be true before the automation is triggered.

  • OR – The automation is triggered when any one of the conditions is true.

This allows you to build simple or advanced automation rules based on your account health requirements.

Step 3: Configure Recovery Actions

Once a rule is triggered, the account enters a recovery phase.

During recovery, you can automatically modify the account's sending behavior.

Available recovery actions include:

  1. Campaign Daily Limit : Control how many campaign emails the account can send each day.

  2. Warmup Daily Limit : Control how many warmup emails the account can send each day.

  3. Warmup Reply Rate : Configure the percentage of warmup emails that receive simulated replies. Higher reply rates can help maintain healthy mailbox engagement during recovery.

  4. Recovery Duration : Choose how long the account remains in recovery.

Step 4: Choose What Happens After Recovery

Once recovery is complete, you can decide how the account should behave.

Revert to Original Settings

  • Restore all campaign and warmup settings that were active before recovery started.

  • This is the recommended option when you simply want temporary protection.

Apply Customized Settings

Instead of restoring previous settings, apply a new configuration after recovery.

For example:

  • Lower campaign limits with ramp-up

  • Lower warmup Limit

  • Recommended reply rate

This is useful when you want a gradual return to normal sending.

Rule Priority

An account may match multiple automation rules simultaneously.

To avoid conflicting actions, only one rule is applied at a time.

If multiple rules match:

  • The automation highest in the rule list takes priority.

  • Lower-priority matching rules are ignored.

  • You can reorder rules by dragging them within the list.

This ensures recovery actions remain predictable and consistent.

An exemption period is a temporary period after an automation rule triggers during which the same rule is not evaluated again.

Can I create multiple automation rules?

Yes. You can create multiple rules for different providers, account groups, or deliverability conditions.

Can one account trigger multiple rules?

An account can match multiple rules, but only the highest-priority rule is applied.

Will campaign sending stop during recovery?

Only if your recovery action sets the campaign daily limit to 0. You can also choose to throttle sending instead of pausing it completely.

Can warmup continue while campaigns are paused?

Yes. Warmup settings can remain active independently of campaign sending, helping preserve mailbox reputation during recovery.

What happens when recovery ends?

You can either restore the account's original settings or apply a new set of campaign and warmup settings automatically.

How long is the exemption period after the automation rule triggers?

When the rule triggers, the account is protected from being evaluated by the same metric until the full metric window has passed, plus a 1-day margin. For a 14-day reply-rate window, this means an exemption of at least 15 days.

What happens if the account has no campaign sends during the exemption period?
​Warmup activity does not count toward reply-rate statistics. If the account has zero campaign sends in the trailing 14-day window, its reply rate is treated as “no data” rather than 0%, so the rule is skipped.

What happens when the account starts sending campaigns again after the exemption period?

Once the account has fresh campaign sending activity in the 14-day window, it becomes eligible for evaluation again. Even one contacted lead is enough for the metric to become evaluable (or the minimum leads contacted you set on the condition, if any), with statistics refreshing once per day.

What happens to accounts in recovery if I delete the automation rule?

Accounts that are already in recovery stay in recovery and complete it according to their normal recovery schedule. Deleting the rule does not release them early or interrupt their recovery.

How can I force exit inboxes from Email Recovery in bulk?

If you need to force exit inboxes from Email Recovery, you can do this in bulk by updating the sending limit for the selected inboxes.

When you bulk update the sending limit, a pop-up will appear asking whether you'd like to force exit the inboxes from recovery. Confirm the option, and the selected inboxes will be removed from recovery.
